These Terms of Use govern your access to and use of PIRIDI (piridi.net), a free, open-access academic platform dedicated to the study of Roman inscriptions on Instrumentum Domesticum. By creating an account or using the platform, you agree to be bound by these Terms. If you do not agree, do not create an account or use the platform.

1. Description of Service

PIRIDI is a digital research platform providing tools for the documentation, study, and dissemination of Roman epigraphic data, with particular focus on Instrumentum Domesticum Inscriptum. The service is provided free of charge for academic and non-commercial research purposes. The platform is under active development; features, data structures, and content may change over time.

2. Eligibility and Account Registration

To create an account, you must:

  • Be at least 16 years of age.
  • Provide accurate and complete information: full name, institutional or academic affiliation, and a valid email address.
  • Maintain one account per person; multiple registrations by the same individual are not permitted.
  • Keep your password confidential and notify us immediately at [email protected] of any unauthorised use of your account.
3. Acceptable Use

You agree to use the platform only for lawful purposes consistent with academic research. You agree not to:

  • Submit false, fabricated, or deliberately misleading epigraphic, bibliographic, or prosopographic data.
  • Use the platform or its data for any commercial purpose.
  • Attempt to gain unauthorised access to the platform, its systems, or other users' accounts.
  • Harvest or scrape data through automated means without prior written permission.
  • Reproduce or distribute PIRIDI content in violation of its licence (see Section 5).
  • Impersonate other researchers or misrepresent your institutional affiliation.
  • Upload content that infringes third-party intellectual property rights.
4. User Contributions

When you submit research data — inscriptions, artefacts, findspot records, prosopographic entries, bibliographic references, images, or comments — you:

  • Represent that the data is, to the best of your knowledge, accurate and properly attributed.
  • Grant PIRIDI a worldwide, royalty-free licence to store, display, and distribute that data under the platform's open-access licence (CC BY-NC-SA 4.0).
  • Acknowledge that your contributions will be attributed to your account in the activity log and may appear in data exports and publications.

PIRIDI reserves the right to review, edit, or remove contributions that violate these Terms or the platform's editorial guidelines.

5. Intellectual Property and Licence

All data published on PIRIDI is made available under the Creative Commons Attribution-NonCommercial-ShareAlike 4.0 International (CC BY-NC-SA 4.0) licence. Under this licence you may:

  • Share — copy and redistribute the material in any medium or format.
  • Adapt — remix, transform, and build upon the material.

Under the following conditions:

  • Attribution — You must cite PIRIDI as specified on the About page, including the platform DOI (10.5281/zenodo.18429165).
  • NonCommercial — You may not use the material for commercial purposes.
  • ShareAlike — If you remix or adapt the material, you must distribute your contributions under the same licence.

The PIRIDI name, interface, and software code are not covered by the CC licence and remain the property of the project and its developers.

6. Cookies and Analytics

PIRIDI uses cookies to operate the platform and, with your consent, to collect anonymous usage analytics. Two categories of cookies are used:

  • Strictly necessary cookies — required for authentication and security (session management, CSRF protection). These cannot be disabled without breaking platform functionality and do not require consent.
  • Analytics cookies — Google Analytics, proxied via Cloudflare, used to understand how the platform is used and improve it. These require your explicit consent and can be declined or withdrawn at any time.

7. Disclaimer of Warranties

PIRIDI is an academic research platform provided "as is", without warranty of any kind. We do not guarantee:

  • The accuracy, completeness, or scholarly validity of any data on the platform.
  • Uninterrupted or error-free access to the service.
  • The permanent retention of data submitted by users.

Use of PIRIDI data in academic publications is at the researcher's own scholarly judgement and responsibility.

8. Limitation of Liability

To the fullest extent permitted by applicable law, PIRIDI and its team shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of, or inability to use, the platform or its data.

9. Account Suspension and Termination

PIRIDI administrators may suspend or permanently terminate accounts that violate these Terms. You may request deletion of your account at any time by contacting us at [email protected]. Upon deletion, your personal data will be removed in accordance with the Privacy Policy; research contributions may be retained anonymously as part of the academic dataset.

10. Changes to These Terms

We may update these Terms from time to time. Registered users will be notified of significant changes by email. Continued use of the platform after any changes constitutes your acceptance of the updated Terms. The date at the top of this page indicates the last revision.

11. Governing Law

These Terms are governed by and construed in accordance with the laws of Spain and applicable European Union regulations. Any disputes arising from these Terms or your use of the platform shall be subject to the exclusive jurisdiction of the courts of Spain.

This Privacy Policy explains how PIRIDI (piridi.net) collects, uses, and protects personal data in compliance with Regulation (EU) 2016/679 (General Data Protection Regulation, GDPR) and Organic Law 3/2018 on Personal Data Protection and Guarantee of Digital Rights (LOPDGDD).

Academic data you enter on the platform: inscriptions, artefacts, findspot records, prosopographic entries, bibliographic references, images, and comments. This data forms the core content of PIRIDI and is associated with your account in the activity log.

d) Analytics data (collected via cookies)

Aggregated usage statistics collected through Google Analytics via Cloudflare proxy. See Section 5 (Cookies) for details.

5. Cookies

PIRIDI uses two categories of cookies:

Strictly necessary cookies do not require consent and are essential for the platform to function. Analytics cookies require your consent. You can opt out of Google Analytics tracking at any time via your browser settings or using the Google Analytics opt-out browser add-on.

6. International Data Transfers

Data processed by Google Analytics and Amazon SES is transferred to the United States — to Google LLC and Amazon Web Services, Inc. respectively. These transfers are protected by Standard Contractual Clauses (SCCs) as approved by the European Commission pursuant to GDPR art. 46(2)(c), ensuring an adequate level of protection for your personal data.

Cloudflare may route traffic through servers outside the EU/EEA as part of its global network. Data is processed in accordance with Cloudflare's GDPR commitments and SCCs. Our server hosting (OVH, Gravelines, France) and file storage (AWS S3 eu-west-3) are located within the EU and do not involve international transfers.

7. Data Retention
  • Account data: retained until you request account deletion.
  • Security logs (IP addresses): 30 days.
  • Analytics data: 14 months (Google Analytics default retention setting).
  • Research contributions: retained indefinitely as part of the academic database; they may be anonymised upon account deletion, but cannot be fully removed if they have been cited or incorporated into the scientific record.
8. Your Rights

Under GDPR (arts. 15–22) you have the following rights:

  • Right of access (art. 15) — Obtain a copy of your personal data.
  • Right to rectification (art. 16) — Correct inaccurate or incomplete data.
  • Right to erasure (art. 17) — Request deletion of your personal data ("right to be forgotten").
  • Right to data portability (art. 20) — Receive your data in a structured, machine-readable format.
  • Right to restriction of processing (art. 18) — Request that we limit how we use your data.
  • Right to object (art. 21) — Object to processing based on legitimate interest.
  • Right to withdraw consent (art. 7(3)) — Withdraw your consent for analytics cookies at any time, without affecting the lawfulness of prior processing.

9. Data Security

We implement appropriate technical and organisational security measures to protect your personal data, including:

  • Encrypted data transmission via HTTPS/TLS.
  • Cryptographic hashing of passwords (never stored in plaintext).
  • Access controls restricting data access to authorised personnel only.
  • Regular security monitoring of the platform infrastructure.
10. Children's Data

PIRIDI is an academic research platform intended for researchers and students aged 16 or over. We do not knowingly collect personal data from persons under 16. If you believe that a person under 16 has registered, please contact us at [email protected] so we can take appropriate action.
